About the client
Road Race Rally Prints creates and supplies bespoke automotive artwork for dealerships, including McLaren showrooms worldwide. Their work requires close coordination with dealerships to ensure orders are captured accurately, proofs are approved quickly and deliveries are tracked seamlessly.
The challenge
Road Race Rally’s dealership order process was previously managed through a mix of manual communication and spreadsheets, which caused inefficiencies and delays. Key challenges included:
- No centralised way for dealerships to place and track orders.
- Heavy reliance on email and manual updates for artwork proofing and approvals.
- Lack of visibility for dealerships into order progress, leading to repeated status enquiries.
- Difficulty generating regional reports required by McLaren offices.

Road Race Rally therefore required a secure online portal to streamline orders, automate communication and improve reporting.
The solution
Hero designed and built a dealership orders portal tailored to Road Race Rally Print’s requirements:
- Dealership Accounts: McLaren dealerships register and log in securely to place orders. Accounts are tied to verified McLaren email addresses and dealership locations.
- Order Management: Dealers complete a structured online form with attachments (e.g. spec sheets), ensuring standardised orders. Orders are assigned both the McLaren order number and a unique Road Race Rally print reference.
- Artwork Proofing Workflow: Road Race Rally Print administrators upload artwork previews for dealer approval. Dealers approve or reject proofs directly in the system, with rejection requiring feedback.
- Delivery Tracking: Road Race Rally can add shipping tracking numbers and mark orders as dispatched, visible instantly to dealers in the portal.
- Reporting Tools: Regional reports are generated automatically, enabling McLaren offices to track activity. Additional consolidated reports support Road Race Rally Print’s invoicing.
- Administration Tools: Administrators can manage dealerships, regions and orders from a secure dashboard, with search and filtering by status or location.
